Industry-Sponsored Sessions

Industry-Sponsored Sessions (ISS) are commercially sponsored educational and promotional sessions held in conjunction with the 15th International Symposium on Human Factors and Ergonomics in Health Care, taking place March 22–25, 2026, at the New York Hilton Midtown Hotel. 

These sessions are not part of the official program of the HFES Symposium but are held in conjunction with it and must be pre-approved by the organizers to ensure the content aligns with their standards and guidelines. 

This guide is intended to assist you in preparing your proposal for submission. We encourage you to review it carefully to ensure your materials meet all requirements. 

Before submitting a proposal, please ensure that your company has registered and paid to sponsor and or exhibit at the symposium.  No company or organization that is not sponsoring or exhibiting may deliver an industry-sponsored session.

Exhibitors and sponsors of the 15th International Symposium on Human Factors and Ergonomics in Health Care are invited to submit proposals for Industry-Sponsored Sesssions (ISS). 

  • Information shared during the ISS must remain balanced and offer attendees an objective perspective.
  • Industry-Sponsored Sessions may serve as forums for presenting company’s products, services and capabilities; however, presenters are prohibited from delivering entirely commercial talks and may not negatively comment on the products or services of competitors.  Sessions will be monitored for compliance.
  • Proposals will be reviewed based on their ability to deliver educational content that is clearly differentiated from and supplement the official HFES symposium program.
  • HFES may refuse to review any proposal that does not meet the criteria set forth in these guidelines.  In order to maintain a balanced program, the Society will select no more than one proposal per company.  
  • Industry-Sponsored Sessions must be accessible and complimentary to all registered meeting attendees. Scheduling will be arranged to ensure no conflict components of the official scientific program.
  • HFES MAKES NO GUARANTEE OF ATTENDANCE AT YOUR SESSION.

Sessions will be scheduled to take place during beverage breaks and therefore cannot exceed 30 minutes total.

Monday, March 23: 

  • 10:00 - 10:30 am
  • 3:00 - 3:30 pm

Tuesday, March 24:

  • 8:00 - 8:30 am
  • 10:00 - 10:30 am
  • 3:00 - 3:30 pm
Fee

$1,500

What the Fee Includes
  • Complimentary function space.  View theater floorplan.
  • One advertisement in the HFES newsletter, the Bulletin (subject to timing)
  • One social media post on HFES selected channels
  • Listing in the final online program and mobile app (subject to timing)
  • Two complimentary meeting registrations (beyond any provided for sponsorship or exhibition)
Additional Requirements & Responsibilities
  • Food and Beverage: Optional.  If the sponsor wishes to provide food and beverage, all fees for such food and beverage are the responsibility of the company presenting the ISS. 
  • Audio-Visual: HFES will provide a screen, LCD projector, and podium with one corded microphone.  Additional audio-visual equipment may be added at the ISS sponsor’s expense and must be ordered through the HFES event planner.
  • Other Event Expenses: Any other expenses are the sole responsibility of the company organizing the ISS.

Applications Must Include the Following
  • Brief educational needs statement
  • Content outline, not to exceed two pages
  • At least two, but no more than three, learning objectives (must be written using Bloom’s Taxonomy of Measurable Verbs)
  • ISS presenting company logo and up to 100-word company description
