Exhibition and Sponsorship

Exhibiting at the 67th International Annual Meeting provides your company the opportunity generate new sales leads, maximize visibility for your company, network with student and human factors/ergonomics professionals, advertise to a wide range of attendees, and elevate your marketing plan with branding and sponsorship opportunities.

The exhibition will take place Tuesday, October 24 through Thursday, October 26.  Beverage break stations will be located in the exhibition area and the location must be passed through to access meeting rooms.

Sponsorship Opportunities

HFES offers a variety of sponsorship opportunities, providing a level to meet every budget! Aligning a sponsorship with your brand forges awareness of your business, can be custom designed to meet your marketing goals, and gives your company additional exposure to HF/E professionals and decision makers that participate in the HFES Annual Meeting & Exposition - including the next generation of professionals and decisions makers.  For further information about sponsorship opportunities contact Michael Sanders at Msanders@hfes.org.

In addition to the benefits outlined in the support levels below, all Platinum, Gold, and Silver sponsorships include the following items:

  • One six-foot table top exhibit.
  • Logo recognition in promotional emails, on session walk-in slides, on the meeting website, and in the program guide.
  • Post-event attendee list (opt-in attendees only). Information provided includes attendee's first and last name, job title, city, state and country. Email addresses are not provided on attendee lists. 
  • Recognition via on-site signage and in session “walk-in” slides.
  • Recognition and thanks from the podium at the opening session.

Platinum Sponsor – $25,000

  • One (1) dedicated pre- and post-event email to all registered attendees (sent on your behalf from HFES. Date and content subject to approval by HFES)
  • Sole sponsorship of three (3) topical tracks.
  • Sponsorship of Opening Awards Ceremony
  • One (1) banner advertisement on the meeting website (location determined by HFES).
  • Two (2) sponsored Tweets from the HFES Twitter account (Date and content subject to approval by HFES).
  • One (1) full-page color advertisement in the digital program book.
  • Up to six (6) complimentary full meeting registrations for your employees.
  • Recognition in two (2) issues of HFES Bulletin with your logo hyperlinked to your site.
  • One complimentary booth at the HFES Job Fair
  • License to use the “Premier Sponsor" Meeting Logo in connection with promotion of your meeting sponsorship and participation.

Gold Sponsor – $15,000

  • One (1) dedicated post-event email to all registered attendees (sent on your behalf from HFES. Date and content subject to approval by HFES.)
  • Sole sponsorship of two (2) topical tracks.
  • One (1) banner advertisement on the meeting website (location to be determined by HFES)
  • One (1) sponsored Tweet from the HFES Twitter account (timing upon mutual agreement).
  • One (1) half-page color advertisement in the digital program book.
  • Five (5) complimentary full meeting registrations for your employees.
  • Recognition in one (1) issue of HFES Bulletin with your logo hyperlinked to your site.      
  • One complimentary booth at the HFES Job Fair.
  • License to use the “Premier Sponsor" Meeting Logo in connection with promotion of your meeting sponsorship and participation.

Silver Sponsor – $8,000

  • One (1) sponsored tweet from HFES Twitter account (timing upon mutual agreement).
  • Sole sponsorship of one (1) topical track.
  • Recognition as sponsor of one (1) beverage break with signage.
  • One (1) quarter-page advertisement in the digital program book.
  • Four (4) complimentary full meeting registrations for your employees.
  • Recognition signage at registration desk.
  • Recognition in one (1) issue of HFES Bulletin with your logo hyperlinked to your site. 
  • License to use the “Premier Sponsor" Meeting Logo in connection with promotion of your meeting sponsorship and participation.

Additional Sponsorship Opportunities

Annual Meeting Program App – $5,000 

The popular program app has become indispensable to attendees as they plan their activities during the meeting.

​Wi-Fi – $4,000

Help all attendees get connected at the Annual Meeting as the Official Wi-Fi sponsor. Wi-Fi access areas will include all of the Annual Meeting public areas, concourses and meeting rooms assigned to HFES in the Washington Hilton Hotel in Washington, DC. Benefits Include:

  • Wi-Fi network branded with company logo
  • Company logo on signage that includes Wi-Fi login instructions
  • Logo and link placement on Annual Meeting website
  • Sponsorship recognition included in Annual Meeting final program

Registration Bags – $8,000 

Your organization's name and logo will be imprinted on the bags and distributed to all registered attendees.  Further, you may have an item you provide included in the bag. Information concerning allowable items to be provided.

Topical Tracks in the Technical Program – $2,000 SOLD 

Sponsor the sessions that focus on one or more of the Society's 26 Technical Groups. Groups include Health Care, Surface Transportation, Occupational Ergonomics, Product Design, and many more. Your company name associated with HFES Technical Groups creates an association between your products/services and the human factors/ergonomics aspects of specific application areas.

Birds of a Feather – $2,500

The Birds of a Feather space is an informal setting to hold discussions based on a shared interest and without any fixed agenda. This room gets plenty of traffic throughout the multiple days of the meeting. Your sponsorship includes recognition on signage outside the room and in all messaging to attendees.  Sponsor may leave company literature at each place setting and is responsible for replenishing at will.

Name Badge Lanyards – $3,500 SOLD

Your company name and logo will be imprinted on name badge lanyards given to all attendees upon check-in. Up to (2) color imprint available. Sponsor will be given final proof to review. Optionally, you may also supply your organization’s existing lanyards at a reduced cost. 

Totebag Inserts – $1,000

Your company literature or other permitted item will be inserted into each attendee’s bag. Examples include an educational piece, a marketing document, a branded knick-knack, or a product sample. There are plenty of ways to help attendees learn about your brand through the materials inserted into each bag. All inserts must be approved by HFES prior to production. Sponsor is responsible for all costs associated with production and shipping of the insert.

Poster Reception – $1,500

The Poster Reception will be held on Wednesday, October 25 from 3:30pm - 5:30pm ET. This is an opportunity for attendees to engage with poster presenters while enjoying a snack and beverage. This sponsorship provides an opportunity to engage with poster presenters and attendees, and includes signage bearing sponsor’s name and logo. All pre-meeting communications referencing the Poster Reception will feature your company name and link.

Posters with Fellows – $1,000

The Fellows Poster Session will be held on Wednesday, October 25 from 3-3:30 pm ET. This is an opportunity for attendees to engage specifically with HFES Fellows presenting posters. This sponsorship provides an opportunity to engage with HFES Fellows, poster presenters and attendees, and includes signage bearing sponsor’s name and logo. All pre-meeting communications referencing the Poster Reception will feature your company name and link.

UX Day – $2,000

User Experience Day is a dedicated day of programming specifically geared for UX professionals. The objective of UX Day is to deliver a great program of technical sessions and networking opportunities for all attendees that highlights topics tied to user interactions with products and services. This sponsorship provides an opportunity to engage with UX professionals and includes signage bearing sponsor’s name and logo. All pre-meeting communications referencing UX Day feature your company name and link.

Focus on Students and Early-Career Professionals

Students and early-career professionals are the future of the profession – and potential employees. Show them your support with one of these popular offerings.

Student Reception – $2,500

Each year, 300+ students gather on Tuesday evening to enjoy refreshments and camaraderie. Awards are also presented. Signs bearing the sponsor's name and logo will be placed at the door and in an acknowledgment made during the program.

Student Lounge – $3,000 or Three $1,000 partial sponsorships

Up to three sponsorships are available. The lounge provides a relaxing atmosphere for networking and mentoring Tuesday through Thursday. Sponsor(s) will be acknowledged in signage and may display information about the organization. Specify your preferred date: October 24, 25, or 26.

Coffee Breaks – (Multiple Available) $3,000 each

Learning is hard work and people need a break. Be the hero, while gaining premium exposure, by offering attendees that much-needed cup of coffee so they get the jump start they need for the rest of the day.  Your company logo will appear in the mobile app, on signs posted at coffee stations, and on napkins and coffee sleeves. HFES will schedule a push notification promoting the the coffee break and your company too.

Mentoring Luncheons – $3,000 sole sponsorship or three $1,000 partial sponsorships

Up to three sponsorships are available. Three luncheons (12:00pm -1:30pm on Tuesday–Thursday, October 24 - 26) will be held to provide students and early career professionals with information and opportunities to develop mentoring relationships with established professionals in the human factors/ergonomics field. Specify your preferred date(s): October 24, 25, or 26. 

Student Career and Professional Development Day Afternoon Break – $1,000 

Student Career and Professional Development Day is a full-day program on Monday and is geared toward helping students prepare for their careers. This sponsorship provides an opportunity to reach out to future HF/E professionals and includes signage bearing the sponsor's name and logo.  All pre-meeting communications referencing Student Career and Professional Development Day feature your company name and link.

Early-Career Professionals Reception – $2,500 SOLD

This social event enables young professionals to network with attendees from industry and academia. The social is followed by a short program that will target specific topics of concern to early-career professionals.

Early-Career Professionals Luncheon – $1,000

This limited-attendance event on Tuesday, October 24, fosters networking and mentorship among those in early stages of their HF/E careers.
