EC Prep Academy

The EC Prep Academy is designed for individuals who have not served on EC previously, but otherwise meet the requirements to run for the position of President. This includes being a Full member of HFES for 5 years, and have served previously within HFES in an elected position or another leadership role, or as an appointed member of an EC committee (e.g. Finance and Budget Committee).

The Academy consists of a set of activities to be accomplished. They are designed to be completed at one’s leisure. Step 1 should take approximately 10 minutes. Step 2 should take approximately 15 minutes. Step 3 will likely take several hours. Step 4 will take one hour, as will Step 5. Thus, the entire process will take roughly 6-8 hours.

Step 1: Apply to the EC Prep Academy (10 minutes)
  1. Description: The EC Prep Academy is open to any individual who has been a Full member of HFES for 5 years and has served previously within HFES in an elected position or another leadership role, or as an appointed member of an Executive Council (EC) committee.
  2. Process: Complete this application form that requests your: (1) Name, (2) number of years that you have been a Full member, and (3) a listing of all elected or leadership roles and roles as an appointed member of an EC committee. This form will be forwarded to the chair of the Leadership Development Committee (LDC). The LDC will confirm that you are eligible to attend the EC Prep Academy and send you links to materials that are not available publicly on the HFES website. 
Step 2: Review the Powerpoint (15 minutes)
  1. Description: The goal of this step is to ensure familiarity with the HFES org chart, all elective offices, and how EC functions in running the Society.
  2. Process: This material can be found here (LINK – the material needs to be developed and placed on the LDC leadership page).
Step 3: Review written materials (several hours)
  1. Description: The goal of this step is to familiarize you with the issues that EC is currently addressing and the roles and responsibilities of EC members.
  2. Process: The following materials will be provided via links to access: (1) the EC Member/Division Chair Handbook; (2) the HFES Strategic Goals; (3) the most recent set of Committee and Division Chair reports. 
Step 4: Meet with an EC Member (1 hour)
  1. Description: The goal of this step is to engage qualified candidates in a discussion with a member of EC to review the current strategic plan, current Society activities (the extent to which we are accomplishing our strategic goals through our current committees), and answer any questions they may have about EC roles and responsibilities.
  2. Process: A one-hour video meeting will be scheduled with a member of EC for this purpose.
Step 5: Attend at least one EC Meeting (1 hour)
  1. Description: The goal of this step is to familiarize qualified applicants with how EC functions in their regular meetings.
  2. Process: The EC member who meets with a qualified applicant will inform Steve Kemp (with a copy to the applicant) that the applicant is prepared to attend an EC meeting. Steve will invite them to a meeting and ensure that they have access to relevant materials. 
Step 6: Certification of Completion (10 minutes)
  1. Description: The goal of this step is to ensure that the qualified applicant has completed all steps in the EC Prep Academy
  2. Process: Once you have completed all of the required steps, please fill out the completion form, which will be sent to the Central Office for processing.

If an individual has served on EC, but it has been more than 3 years since that service, they will need to complete steps 1, 3, 4 and 6 only. The goal is to provide them with information on the issues with which the Society is currently addressing.
